Job Position – Receptionist

• Responsible for receiving and routing all incoming phone calls, taking messages and answer basic questions about the organization.
• Schedule appointments for different department or staff members upon request.
• Handling incoming sales enquires, properly logged in the system for future record and forwarding them to sales department.
• Maintaining accurate records of visitors and phone calls to manage the flow of the business operations effectively. Also, retrieve record or information whenever needed.
• Handling mail and deliveries receive, sort, and distribute incoming mails and packages. Also, prepare outgoing mail and packages for delivery.
• Assisting with administration tasks like data entry, scanning, copying, and filing.
• Managing office supplies and place order when necessary. Also, ensure that office equipment, like printer and copies, are in good working order.
• Should ensure that the reception area clean, tidy, and meeting room is set prior to the meeting and chair tucked in once it’s over.
• Knowledgeable, helpful to visitors. Going extra mile to ensure that visitors needs are met and any issues are resolved quickly.
• Constantly checking the office stock (pantry/Stationary) and informing procurement department to arrange on timely manner.
Criteria:
– Education: Diploma/Bachelor Degree
– Experience: 1-3 Year’s experience as Receptionist Role
– Language: Good verbal and written English
– Skills: MS Office proficiency, Customer Service, Multitasking, very well organized.
Job Purpose:
Be a face of the company and welcoming visitors with a friendly and professional attitude, and should also direct visitors to the appropriate department or person.
